Concept
Workofo is an AI-based workforce management platform used by retail, hospitality, and service businesses across Europe. It forecasts demand and workload, then optimizes schedules automatically — so teams are staffed when and where work actually happens. Managers stay in control while the system handles the heavy lifting: enforcing labor law, union agreements, contracts, skills, locations, and internal policies.
Problem
When demand fluctuates and rules are complex, manual planning becomes costly and unreliable. Fixed shifts don't follow reality, small optimization opportunities are missed, and managers constantly rework schedules — leading to overstaffing, understaffing, and burnout.
Approach
- Built a design system that powers the full management platform — from dense scheduling grids to employee cards, modals, and administrative workflows for both employer and employee journeys.
- Designed the core scheduling experience: weekly grids with color-coded shifts, conflict indicators, date navigation, and tools for fast replanning when things change.
- Mapped employer workflows — employment details, agreement templates, shift assignment, terminal device setup, and recurring schedule management.
- Designed employee-facing surfaces within the same system — profile cards, agreements, skills, check-ins, and shift detail views that stay consistent across the product.
- Aligned UI patterns with how Workofo works: forecast demand, include real-world constraints, optimize schedules automatically, and adjust fast without rebuilding from scratch.
Outcome
The design system gives Workofo a scalable foundation for a complex B2B product — trusted by teams at Barbora, Kesko Senukai, and other multi-site operators to improve coverage, productivity, and schedule quality. Customer results include freeing 8–10% of scheduled hours in retail and identifying 8.7% free hours in pharmacy operations.
